The Personal Assistant has overall responsibility for providing secretarial and administrative support to the CEO, other Board members and Board. 

Key Responsibilities and Deliverables:

  • Manage diary for CEO and other Board members and greet visitors.
  • Make travel arrangements, hotel reservations and arrange visas as required.
  • On behalf of the CEO and Chairman arrange Board and other senior meetings, collate and distribute paper as appropriate.
  • Taking Board meeting minutes and following up on action points
  • Prepare presentations on behalf of the CEO and other Board members.
  • Screen emails and telephone calls for the CEO, handling queries where possible and passing messages to the correct departments.
  • Hold office management responsibilities for Orega Head Office; ensuring, among other activities, stationery and printers are maintained.
  • Complete and submit expenses claims of Board members
  • Arrange internal and external events on behalf of the CEO and the Board.
  • Track preparation and implementation of key projects and associated actions with a view to monitoring developments during CEO’s absence.
  • Ad-hoc secretarial and administrative duties as and when required.
  • Act as communications coordinator amongst senior management team as and when required.

General Responsibilities:

  • Read and comply with instructions and directions as communicated via signs, notice boards and memos.
  • Conduct yourself, at all times, in a professional and responsible manner, promoting a good and proper image of Orega.

Essential Skills, Experience & Qualifications:

  • 55 wpm typing.
  • Computer literate with experience in Outlook, Word, PowerPoint and Excel.
  • Good level of numeracy.
  • Excellent organisation and administrative skill.
  • Good communication skills and excellent telephone manner and ability to communicate assertively when necessary.  
  • Ability to prioritise and schedule own work to meet deadlines.
  • Accuracy and eye for detail.
  • Able to work autonomously and act on own initiative.
  • Proven experience of handling highly confidential information in a professional manner.
  • Strong team player.
  • Excellent time keeper.
